<p begin="0.716s" xml:id="p0" end="7.799s">Hello, and welcome to How to Make a Book of Documents and Book of Authorities Training Video. Please</p>
      <p begin="7.8s" xml:id="p1" end="13.833s">note that the instructions given will be for FOX It Phantom PDF and Adobe. What needs to be in</p>
      <p begin="13.85s" xml:id="p2" end="19.933s">the books? When a hearing is scheduled in a file, the parties must prepare a book of documents and a book</p>
      <p begin="19.933s" xml:id="p3" end="25.999s">of authorities. A book of documents contains all the documents that a party wants to bring forth</p>
      <p begin="26.016s" xml:id="p4" end="32.032s">as proof, also known as an exhibit, during a hearing, even if the party</p>
      <p begin="32.033s" xml:id="p5" end="38.133s">may have already submitted these documents throughout the file&#039;s life. Parties before the Board will</p>
      <p begin="38.15s" xml:id="p6" end="44.2s">often refer to the board decisions to support the position that they are taking. If you will be relying on</p>
      <p begin="44.2s" xml:id="p7" end="50.266s">board or other decisions or sections of the law like the Canada Labor Code, you should include these in your book of</p>
      <p begin="50.266s" xml:id="p8" end="56.382s">authorities. This way, the decision maker can easily refer to them, allowing for an effective and timely</p>
      <p begin="56.4s" xml:id="p9" end="62.733s">hearing. The first section we will be looking at is how to create a book. To create</p>
      <p begin="62.75s" xml:id="p10" end="68.65s">a book, you will make sure that all documents are in PDF format and collect all the documents in one place.</p>
      <p begin="69.616s" xml:id="p11" end="75.649s">Once the documents are collected, you will add them all to one document, which will form the books. You will</p>
      <p begin="75.65s" xml:id="p12" end="81.85s">then add a title page to your document that identified what file the document is for and what type of book it is.</p>
      <p begin="82.15s" xml:id="p13" end="88.233s">For example, complainant&#039;s book of documents or respondent&#039;s book of authorities, etc. To do this,</p>
      <p begin="88.666s" xml:id="p14" end="93.499s">you will ensure that all the documents are located in the same space.</p>
      <p begin="94.85s" xml:id="p15" end="100.616s">For example here, I have created an example document that we will be using.</p>
      <p begin="103.3s" xml:id="p16" end="109.1s">You will also need to create a title page and ensure that the title page is a PDF as well.</p>
      <p begin="110.016s" xml:id="p17" end="116.182s">You will make sure that they are separate in two separate windows and you will open the thumbnail page. The thumbnail page</p>
      <p begin="116.2s" xml:id="p18" end="122.366s">is found on the left hand side and is two pages one on top of the other. You will then</p>
      <p begin="122.366s" xml:id="p19" end="128.616s">add the contents of your document into the title page document. To do this, you will make sure</p>
      <p begin="128.633s" xml:id="p20" end="134.749s">that all pages on the contents are blue. You can do this by selecting the first one,</p>
      <p begin="135.066s" xml:id="p21" end="141.182s">clicking Shift on your keyboard and then the last one. This will make them all blue. Once they</p>
      <p begin="141.2s" xml:id="p22" end="147.25s">are blue, you will simply click on them and drag them to the other page. And insert them</p>
      <p begin="147.25s" xml:id="p23" end="152.683s">behind the title page. You can then close your content and save your document.</p>
      <p begin="153.75s" xml:id="p24" end="159.75s">Now in the title page, you also have your content. The next thing you will want to do</p>
      <p begin="159.75s" xml:id="p25" end="166.016s">is to make tabs. Each document must be separated by what we call a tab. A tab is simply</p>
      <p begin="166.016s" xml:id="p26" end="172.299s">a page that identifies which document fault. For example, tab A, tab B, tab C, or whichever</p>
      <p begin="172.316s" xml:id="p27" end="178.599s">name you want to give it. This will relate back to your table of contents that must be added at the beginning of the document</p>
      <p begin="178.6s" xml:id="p28" end="184.8s">after the title page. To create tabs, you will simply have to go into Microsoft Word</p>
      <p begin="185.5s" xml:id="p29" end="192.033s">and create pages that have the word tab 1, tab 2, tab 3. Here, you&#039;ll</p>
      <p begin="192.033s" xml:id="p30" end="198.033s">write tab 1. Once you have finished creating all of your tabs, you will have to save the document.</p>
      <p begin="198.716s" xml:id="p31" end="204.832s">When you are saving the document, please ensure that the save as type is a PDF. This will</p>
      <p begin="204.85s" xml:id="p32" end="210.916s">then open a PDF document. You will then</p>
      <p begin="210.933s" xml:id="p33" end="216.933s">have to add the tab in front of the document that it represents. To do this, you will</p>
      <p begin="216.933s" xml:id="p34" end="223.016s">again open the thumbnail by clicking on the icon here and selecting tab 1, the tab 1</p>
      <p begin="223.033s" xml:id="p35" end="228.849s">page. You will then simply drag this in front of your first document.</p>
      <p begin="229.366s" xml:id="p36" end="235.566s">So here we have now title page, tab 1, and then the contents of tab 1. You will</p>
      <p begin="235.583s" xml:id="p37" end="240.666s">repeat this for tab 2. So make sure that you are selecting tab 2. So it has to be blue.</p>
      <p begin="241.683s" xml:id="p38" end="247.816s">And then placing this in front of your second document. We have to add two and contents of tab</p>
      <p begin="247.833s" xml:id="p39" end="253.883s">2. Then you repeat this action for every single document that you have. So again,</p>
      <p begin="253.883s" xml:id="p40" end="259.783s">tab 3 goes before contents of tab 3. Now we have tab 3, and the contents of tab 3.</p>
      <p begin="260.15s" xml:id="p41" end="265.666s">And that is how you add tabs to your document. The next step is your table of content.</p>
      <p begin="266.616s" xml:id="p42" end="272.816s">A table of contents must be added to your document. This page is found between the cover page</p>
      <p begin="272.816s" xml:id="p43" end="279.016s">and the first tab. A table of contents enumerates all the tabs and what is contained</p>
      <p begin="279.033s" xml:id="p44" end="285.033s">in each as shown here. You can make a table of contents the same way</p>
      <p begin="285.05s" xml:id="p45" end="291.333s">as you would create a tab as shown before using Microsoft Word. So for example, here we have a table</p>
      <p begin="291.333s" xml:id="p46" end="297.383s">of contents that is for a book of documents. So we would have table of contents, the enumeration of the</p>
      <p begin="297.4s" xml:id="p47" end="304.016s">tabs. And then tab 1 is for example, a complaint filed on December 2021</p>
      <p begin="304.916s" xml:id="p48" end="311.249s">and the rest of the enumeration. Whereas we also have an example here of a table of contents</p>
      <p begin="311.266s" xml:id="p49" end="317.432s">for a book of authorities. So it&#039;s the same concept, table of contents, the enumeration</p>
      <p begin="317.433s" xml:id="p50" end="323.466s">tab 1. But then I would then name the decision or the jurisprudence or</p>
      <p begin="323.483s" xml:id="p51" end="329.499s">the case law that I am showing here. So in this case, McRaeJackson is the name of</p>
      <p begin="329.516s" xml:id="p52" end="335.416s">a decision, as well as these other two. So you would then enumerate your tabs and the</p>
      <p begin="335.6s" xml:id="p53" end="341.966s">content here. To add this to your book, you simply do the same thing as with the tabs</p>
      <p begin="342.116s" xml:id="p54" end="348.149s">you ensure that it is blue. And then you would place it after your cover page but before your first tab. So</p>
      <p begin="348.15s" xml:id="p55" end="354.316s">now we have our cover page and then the table of contents. The board also asks</p>
      <p begin="354.333s" xml:id="p56" end="360.366s">that all tabs be bookmarked. This is to allow the panel and parties to quickly get to a tab</p>
      <p begin="360.383s" xml:id="p57" end="366.749s">while the party is using it. This is very useful, especially when there are a lot of documents in a book.</p>
      <p begin="367.733s" xml:id="p58" end="373.866s">Each tab should be named in accordance to what it represents in the table of contents. To create a bookmark, you will</p>
      <p begin="373.883s" xml:id="p59" end="379.783s">navigate to the page that you want a bookmark. So in this case tab at the top of the page,</p>
      <p begin="380.466s" xml:id="p60" end="386.166s">there is an icon named Bookmark. You will select this and now you need to name that bookmark.</p>
      <p begin="386.95s" xml:id="p61" end="393.1s">The title will be what we had indicated in the table of contents. So in this case it is</p>
      <p begin="393.1s" xml:id="p62" end="399.0s">to have one complaint filed on December 2021.</p>
      <p begin="400.3s" xml:id="p63" end="406.516s">And now you have created your first tab. You will then go to tab 2 and click</p>
      <p begin="406.533s" xml:id="p64" end="412.416s">on the small bookmark icon with the plus. And repeat the same step by</p>
      <p begin="413.0s" xml:id="p65" end="418.766s">naming it what is said in the table of contents. And that creates your second tab.</p>
      <p begin="420.016s" xml:id="p66" end="425.499s">One last time you go to tab 3, click on the plus</p>
      <p begin="427.133s" xml:id="p67" end="432.716s">and name it what is in the table of content. Once all your bookmarks have been added,</p>
      <p begin="433.333s" xml:id="p68" end="439.649s">you just have to go to the cover page. And then select each tab one by one to ensure that you have linked</p>
      <p begin="439.65s" xml:id="p69" end="445.733s">them to the correct page. If when you open your document, you do not see your bookmarks, they</p>
      <p begin="445.75s" xml:id="p70" end="452.0s">are easily found on the left hand side by clicking on the bookmark icon and you will</p>
      <p begin="452.633s" xml:id="p71" end="458.833s">find them. And it is very important to ensure that each tab is linked to the correct</p>
      <p begin="458.833s" xml:id="p72" end="464.899s">document. And it is named the correct thing in accordance with your table of content. Once this is ensured,</p>
      <p begin="464.916s" xml:id="p73" end="471.199s">you can save your document. And that is how you create a book of documents and a book of authorities. As mentioned</p>
      <p begin="471.2s" xml:id="p74" end="477.283s">before, these steps can be used for book of documents and the book of authorities. Please note that using links</p>
      <p begin="477.3s" xml:id="p75" end="483.383s">in the book of authorities is not recommended. We highly recommend adding the actual pages of the case</p>
      <p begin="483.383s" xml:id="p76" end="489.966s">law, jurisprudence, etc. into the book of authorities. We also ask that you use pages that are formatted</p>
      <p begin="489.966s" xml:id="p77" end="494.899s">in by 8 and a half by 11 inch when possible. Thank you and have a great day.</p>
